How to use the Excel attendance tracking template
- Replace the fictional names in the 50 student rows and enter each student’s purchased classes. Replace the 12 example dates with your own and clear the sample attendance entries in columns C–N; keep the formulas in column O.
- Choose attended, absent or made up for each past date. Leave future classes blank and keep the formulas for remaining classes.
- Check the template’s rule: attended and made up deduct one class; absent does not. If your studio charges for absences, this template does not match your policy.
- Review each make-up so the same absence is not counted twice. Keep absent on the original date and made up only on the new date; the file does not detect these duplicates.
What deducts a class and what does not
Attended and made up deduct one class. Absent does not: the template assumes absences can be made up. If your studio counts absences as consumed classes, this rule does not represent your policy.
Fictional example: a student purchases 8 classes, attends 1, misses 1 and makes it up on another date. There are 6 classes left: 8 − 1 − 1. Keep absent on the original date and mark made up only on the new date.
Where Excel falls short
The formula counts, but it does not know which absence belongs to which make-up. You must check that the same absence is not made up twice. It does not reserve places or check whether another class time is full.
For more dates, insert columns inside the date block and check the formulas and lists. For more students, copy an empty row with its formula. Save a copy before changing the structure.
When the register is no longer enough
Mesana reserves each student’s place throughout the whole cycle and tracks absences, make-up classes and remaining classes automatically. You mark who attended; make-ups are linked to the missed class.
Try it with your cycle: 14 days, no card. Signup may require an invitation.
Frequently asked questions
Do I need to enable macros?
No. The .xlsx file uses formulas and dropdown lists, with no macros. Excel recalculates balances when you open it and change data.
Does an absence deduct a class?
Not in this template. Attended and made up deduct a class; absent leaves it pending. If absences consume classes at your studio, the template does not match your policy.
Can the same absence be made up twice?
The file does not prevent it. You must manually check that each make-up corresponds to one absence and that this absence has no other make-up.
Do I have to leave my email to download it?
No. The link downloads the file directly. The example names are fictional; replace them with the names in your register.
