Ditch the spreadsheet when it stops telling the whole story.
Ditch the spreadsheet if every change sends you back through sheets and messages. Excel is how almost all of us start: a list of students, timetables and payments. WhatsApp handles the conversation. With course cycles, make-up classes and class packs, keeping everything up to date depends on you remembering every detail.
Data verified on
| What you manage | Excel + WhatsApp | Mesana |
|---|---|---|
| Lists and simple calculations | Excel works well for listing students, organising timetables and adding up payments. You can adapt the columns to the way you work. | Brings students, classes and finances together in one place. If your sheet still does the job, you do not need to change just for the sake of it. |
| Course cycles and timetable changes | You can copy the dates of a course cycle. If the timetable changes, you need to review the rows and messages so everyone has the same information. | Each enrolled student holds their place in every future class of the cycle. You manage timetables and enrolments together; changes do not depend on memory. If a student needs to move to another place, you make the change: students are not reassigned automatically. |
| Absences and make-up classes | You can note an absence and agree on a make-up class over WhatsApp. Then you need to link them and check the balance so you do not deduct another class. | The make-up class is linked to the missed class and does not use another class. Absences, make-up classes and remaining classes are recalculated automatically. |
| Class packs and remaining classes | A formula can count the classes left, if you have updated all attendance, absences and make-up classes in the right sheet. | Each student’s balance brings together classes attended, absences, remaining classes and make-ups. You do not piece together the answer to “How many classes do I have left?” from messages. |
| Cash collected and what you have earned | Excel adds up payments and expenses. It can also calculate the value of classes taught, if you set up and maintain those formulas. Collecting payment for a pack does not mean you have earned it all. | You see cash collected and the value of classes already taught, alongside costs and margin. If you have sold packs you have not taught yet, part of your cash is not yours yet. |
Ditch the spreadsheet when updating it becomes another job.
The change is not about stopping conversations with students. It is about no longer using each conversation as a piece of the register. Create the timetables, enrol students and mark who attended: the register and cash records update. You know what you have collected. Mesana tells you what you have earned.

We move your Excel data for you, even if it is messy.
We review students, enrolments and balances with you. If something is unclear, we ask you; we do not guess. You approve the balances before getting started.
Before leaving your spreadsheet
What if my Excel sheet still works for me?
Keep using it if you know who is coming, how many classes they have left and what you have earned. A change makes sense when updating sheets and messages means piecing that information together every time.
Does Mesana replace WhatsApp?
You can keep talking to students on WhatsApp. Mesana keeps the record of classes, absences, make-ups and balances so that information does not depend on finding a message.
Do I need to tidy up my Excel sheet first?
It does not need to be perfect. We move your data and review any questions with you. Before getting started, you approve the students, enrolments and balances.
Is the money from class packs what I have earned?
Not all of it: if there are classes left to teach, part of that payment covers work still to come. Mesana separates cash collected from the value of classes already taught and shows costs and margin.
