How Mesana works in your studio

How Mesana works: create recurring classes, enrol students and mark who came. Each place is reserved for the whole cycle; remaining classes and make-ups are recalculated automatically.

1. Create your recurring classes

Set the time, duration, room and capacity for each class. You can repeat it weekly or monthly. Lessons appear in the calendar without copying every date.

2. Enrol each student in their cycle

Enrolment reserves their place in every lesson of the cycle at once. For drop-in classes, a booking covers just that session and can be paid with a class pack or separately. Cycles and drop-in classes share the same calendar.

3. Mark who came

When you mark attendance, Mesana updates the classes used and those remaining. Absences follow your studio’s rule: by default they use a class, but you can change this. The value of classes used appears in your finances; collecting a payment is a separate cash movement.

Make-ups linked to the missed class

A make-up is linked to the missed lesson and does not use another class from the pack or cycle. You find an available place within the window you have set. Class capacity remains the limit.

Class packs: know how many classes remain

A class pack is used to book drop-in classes. It can be tied to one class type or cover them all. Attendance and your absence rule determine usage; the pack closes when its classes run out or it reaches an expiry date, if you have set one.

Studio finances: collected is not earned

Money from a cycle or class pack may arrive before you teach the classes. Mesana shows money collected alongside the value of classes already used under your studio’s rules. Record costs and see the margin based on that value, rather than all the money in your cash balance. The till also records other sales with a description and a daily closing by payment method.

Questions about how Mesana works

Do I have to book a student’s place every week?

No. Enrolment reserves their place in every lesson of the cycle. A drop-in booking covers just one session.

Does an absence use a class?

By default, yes. You can change your studio’s rule. A make-up linked to the missed class does not use an additional class.

Can I mix cycles and class packs?

Yes. Cycles reserve places in their lessons; class packs are used for drop-in classes. Both share the calendar.

Is money collected the studio’s margin?

No. Money collected includes classes you may not have taught yet. Margin starts with the value of classes used under your rules, minus recorded costs.
